About Ghostnote
Ghostnote is a fast growing music startup based in Berlin. Since launching in 2025, we've been building instrumental music brands that millions of people study, sleep, game and relax to - from piano lullabies to anime and gaming covers, lofi and ambient music. Everything we release is made by real musicians and we have a strict zero-AI music policy.
Our founding team has previously scaled several music brands to over 1 billion Spotify streams. Today, Ghostnote's catalogue is streamed millions of times every week and growing fast.
Tasks
The role
We are looking for a highly organised Production Coordinator to run the day-to-day of our music production pipeline. Working closely with our Founder & Creative Director, you will keep every project on track from brief to approval, manage communication with our freelance producers and musicians, and check and approve music before it moves to the distribution team. The role also covers co-ordination of artwork and visual assets across our brands.
This is an excellent opportunity for someone who loves anime, gaming and internet subculture and wants to help build the music for the brands behind it.
You will:
Run the production tracker across all brands, keeping full visibility of what is in progress, late or blocked
Brief freelance music producers and artists, give feedback, chase deliveries and keep relationships warm
Check and approve incoming recordings against source material and references, and send back anything that isn't right
Find and set reference tracks for production briefs and draft album tracklists using each brand's guidelines
Keep masters, versions and metadata organised in our catalogue system
Ensure all content receives a final quality check before it is approved
Requirements
What you bring
A genuine fan of anime, gaming and video game music culture
2 to 3 years of experience in production, operations or coordination roles
Strong organisational skills and the ability to manage multiple projects and deadlines at once
Excellent written communication, as much of this role is written contact with freelancers
Fluent in English; other languages such as German, Spanish or Portuguese are a plus
Based in Berlin or able to relocate
Bonus points if you have a strong musical ear, a good eye for visuals, play an instrument, have worked with freelancers before, or have experience with music distribution and/or music metadata
